How to Apply for a Virtual POS

How to Apply for a Virtual POS? Required Documents and Application Process

For businesses wanting to accept payments via credit and debit cards online, applying for a Virtual POS is one of the most crucial steps in setting up a sales infrastructure. Preparing the right documents, making your website ready for evaluation, and carefully reviewing our offer conditions will prevent unnecessary delays in the process.

In this guide, we clearly explain the required documents for a Virtual POS application, our Paynkolay application steps, the information that must be present on your website, and situations where your application might be delayed.

Short answer: After you fill out our online application form, we send you an offer following a preliminary evaluation. You then upload the required documents to the system and digitally approve the contract. Once complete information and documents are submitted, we finalize your application within 1 business day. The technical integration time may vary depending on the infrastructure you use and your readiness.

What is a Virtual POS Application?

Virtual POS is a payment infrastructure that allows you to accept card payments over the internet without the need for a physical POS device. Your customer enters their card details on the payment screen, the transaction goes through security and provision checks, and the successful transaction amount is transferred to your account according to the conditions set in our merchant agreement.

The application is the process where we, as the payment institution, evaluate your business, your field of activity, your sales channel, and your risk profile. Therefore, filling out the application form does not automatically guarantee approval. Your documents, website, and field of activity are also evaluated by our teams.

Who Can Apply for Paynkolay Virtual POS?

Our quick application form includes options for joint-stock companies, limited liability companies, foundations or associations, apartment managements, sole proprietorships, ordinary partnerships, and collective companies. As the applicant, we expect you to share information such as your commercial title, company type, tax number, monthly turnover, contact information, sales channel, and website address, if applicable.

Having a specific organization type listed in the form does not mean every application will be automatically accepted. Your application result is determined based on your field of activity, the information and documents you provide, current legislation, payment network rules, and N Kolay's allocation/risk policies.

Required Documents for a Virtual POS Application

Whose Name Should the Bank Account Be In?

We make Virtual POS payments to the bank account belonging to the title written on the tax plate used during your merchant onboarding. We cannot make payments to an account belonging to another company or an individual outside the company. Therefore, it is crucial that the title on your bank account document matches your application information.

What Should Be on Your Website Before Applying?

If you are going to accept payments through your e-commerce site, your site must be ready for use not only in terms of design but also regarding products, sales, and legal information. We cannot evaluate sites that are closed, under construction, or in the testing phase. Your site must include:

  1. Clear descriptions of the products or services offered for sale
  2. Current product or service prices
  3. Your business's commercial title and contact information
  4. Distance sales agreement and necessary preliminary information texts
  5. Delivery, cancellation, return, and withdrawal conditions
  6. Privacy and security policy
  7. Valid SSL certificate and secure access via HTTPS

The Ministry of Trade also requires that consumers be clearly informed about the basic characteristics of the goods/services, seller details, total price including taxes, withdrawal rights, and legal remedies before payment in distance sales. We recommend getting support from a legal expert for contracts and information texts specific to your sales model.

Can Payments Be Received Without a Website or Tax Plate?

In our standard Virtual POS evaluation via an e-commerce site, your site must be ready for sales. However, if you don't have a website, we also offer our Payment via Link service, which allows you to share payment links via SMS, email, or WhatsApp.

On our Virtual POS Prices page, you can see that individuals without a tax plate can make individual applications for Payment via Link. This option does not mean your standard Virtual POS API application will be automatically approved. It is important to verify your individual application conditions, limits, accepted activities, and tax obligations with us and, if necessary, your financial advisor before applying.
